Organizing and finding mail

What does archive mean in Gmail?

Archiving moves a message out of your inbox without deleting it. It stays in your account, stays searchable, and still uses storage. Here is exactly what happens, where the mail goes, and how to bring it back.

The short answer: archive in Gmail means "remove this from my inbox, but keep it." The message isn't deleted, isn't moved to a special folder, and isn't hidden from search. It just loses its Inbox label. Everything else about it stays the same.

What archiving does

When you archive a conversation, Gmail removes one thing: the Inbox label. That is the whole action. The message keeps:

  • Any labels you or a filter applied, such as "Receipts" or "Travel".
  • Its place in All Mail, the view that holds every message in your account except Spam and Trash.
  • Its searchability. Searching for a sender, subject, or phrase finds it as it would any other mail.
  • Its storage footprint, which counts against the 15 GB you share across Gmail, Drive, and Photos.

Google describes it the same way in its help page on archiving and muting messages: archived mail leaves the inbox and remains available in All Mail and search. Nothing is sent to the sender, and nothing is permanent. You can undo it in two clicks.

Where do archived emails go?

To All Mail. Gmail has no Archive folder, which surprises people coming from Outlook or Apple Mail, where "Archive" is a place you can open. In Gmail, labels are tags rather than locations, so an archived message is simply one with no Inbox tag. Our guide to Gmail labels vs. folders explains why.

To see your archived mail:

  1. Open Gmail on a computer and look at the left sidebar.
  2. Click More if you don't see All Mail.
  3. Click All Mail. This lists everything, so archived messages are mixed in with inbox and sent mail.

To see only archived mail, search for -in:inbox -in:sent -in:draft. The delete archived messages guide breaks down why that search works and how to narrow it by date, sender, or size. In the Gmail app on Android or iPhone, tap the menu icon (three lines) and choose All mail.

How to archive an email

  • On a computer: open or select the message and click the Archive icon (a box with a down arrow) in the toolbar. Hovering over a message in the list also shows it.
  • With a keyboard shortcut: press e on a selected or open conversation. Shortcuts must be turned on in Settings first.
  • On a phone: swipe the message left or right in the inbox (the default is archive), or open it and tap the archive icon.
  • Automatically: a filter can archive mail as it arrives. See Gmail auto archive for the setup.

If you archive something by mistake, click Undo in the bar that appears at the bottom left of the screen. It disappears after a few seconds.

How to unarchive an email

Gmail calls this "Move to inbox". There's no Unarchive button, because there is no archive to move out of.

  1. Open All Mail or search for the message.
  2. Select it with the checkbox, or open it.
  3. Click Move to inbox in the toolbar (the inbox-with-arrow icon).

The Inbox label is added back, and the message sits in your inbox again. A conversation also comes back on its own when someone replies to it, unless you muted it.

Archive when the goal is a clear inbox and you might want the mail later: receipts, confirmations, finished conversations. Delete when you are sure you'll never need it, or when you need the storage back. If you can't decide, archive, because that choice costs nothing to reverse.

Why archiving doesn't fix a cluttered inbox

Archiving treats the symptom. A mailbox full of promotional mail and newsletters doesn't stay clear after you archive it all, because those senders keep sending. The inbox fills again, and meanwhile your archive grows into a pile of mail you'll never open, all counting against your storage.

For mail you actually want to keep, archive it. For mail you never wanted, stop it at the source. Our guide to every unsubscribe method that works covers the options, and cleaning your Gmail inbox walks through doing it without losing anything important. If the pile is already large, deleting archived messages shows how to clear it in bulk.

Gmail Unsubscribe scans your inbox, lists every subscription sender with its message count, and lets you unsubscribe and clear each sender's backlog in the same click. It uses each sender's official unsubscribe mechanism and tells you which requests failed. Free plan: unlimited scanning, and 25 senders a month unsubscribed and cleared out.

Common questions

What does archive mean in Gmail?

Archive removes a message from your inbox without deleting it. The message keeps all its labels, stays in All Mail, shows up in search, and still counts against your Google storage.

Where do archived emails go in Gmail?

Archived emails go to All Mail. Gmail has no separate Archive folder: archiving just removes the Inbox label, and the message stays under All Mail and any other labels it already had.

Does archiving delete an email in Gmail?

No. Archiving never deletes anything. The message stays in your account indefinitely until you delete it yourself, and you can move it back to your inbox at any time.

Does the sender know I archived their email?

No. Archiving is private to your account. The sender gets no notification, and no read receipt or other signal is sent by archiving.

What happens when someone replies to an archived email?

The conversation returns to your inbox. Gmail puts a thread back in the inbox when a new message arrives in it, unless you muted the conversation or a filter skips the inbox.

How do I unarchive an email in Gmail?

Open All Mail, find the message, select it, and click Move to inbox. If you just archived it by accident, click Undo in the black bar at the bottom left of the screen right away.

Do archived emails take up storage?

Yes. Archived mail counts toward the 15 GB shared across Gmail, Drive, and Photos. Only deleting the mail and emptying Trash frees the space.
